Employee Attendance Software in Egypt: A Buyer's Guide
In Egypt, employee attendance software records when each person starts and finishes work, then turns those records into lateness, absence and hours figures that payroll can use. For a business here, the right choice depends less on brand and more on where your people actually work: one front door suits a fingerprint device, while branches and field staff suit a mobile app with GPS. This guide compares the four main methods, gives you a checklist to test any vendor against, and explains how attendance should connect to payroll.
TL;DR. There are four ways to take attendance: paper or Excel, a biometric device (fingerprint or face) on the wall, a mobile app that checks the phone's location, and a QR code or shared kiosk. A device proves who arrived at one door; a GPS app proves where someone checked in, across many sites. Before you buy, check five things: how check-in is verified, whether it works for staff outside the office, whether lateness and absence are calculated automatically, whether the output feeds payroll, and what the total cost is per month in EGP. Free downloadable tools are fine for a handful of people in one room; beyond that, the hours spent fixing records usually cost more than a subscription.
What employee attendance software actually does
Every attendance system, from a paper register to a cloud app, does the same three jobs. Judging a product is mostly a question of how well it does each one.
- Capture. A record is created when someone starts and ends work: a signature, a fingerprint scan, a QR scan or a phone check-in. The best capture is done by the employee, at the moment, without a second person typing it in later.
- Verify. The system checks that the record is genuine. Paper verifies nothing. A fingerprint confirms identity at one device. A GPS app confirms that the phone was inside a radius you set around the workplace.
- Calculate and report. Raw times become late minutes, absent days and hours worked, measured against each person's scheduled start. This is the step that feeds payroll, and it is where most spreadsheets quietly go wrong.
Time and attendance software that does only the first job is a digital register. What you are paying for is the second and third: trustworthy records and calculations nobody has to redo at month-end.
The 4 attendance methods compared
Most Egyptian businesses have tried at least two of these. Each one is good at something; none is good at everything.
| Paper register or Excel | Biometric device (fingerprint or face) | Mobile GPS attendance app | QR code or shared kiosk | |
|---|---|---|---|---|
| Cost type | Almost free; staff time is the hidden cost | One-off device purchase plus installation, per site | Monthly or yearly subscription; some have a free tier | Low hardware cost (a tablet or printed code) plus software |
| Risk of signing in for a colleague | High | Low at the device itself | Medium: the phone must be inside the radius, but can be handed over | Medium to high, depending on how the QR is protected |
| Proof of location | None | Only that the person reached that device | Phone location checked against a radius you set | Only that the person reached the code or tablet |
| Staff outside the office | Not covered | One device per site; field staff not covered | Works wherever the phone has a signal | One code or kiosk per site |
| Setup effort | Minutes | Buying, mounting, enrolling every fingerprint or face | Install the app, mark locations, invite staff | Print codes or mount a tablet, enrol staff |
| Link to payroll | Manual formulas | Export a file, then clean and calculate | Usually calculated inside the app | Depends on the software behind it |
| Best fit | A few people in one room | One fixed site where everyone enters through one door | Several branches, field teams, managers who are not on site | Shared sites where staff do not have smartphones |
A fingerprint device is the strongest option for identity at a single entrance, which is why it is popular in factories and schools. Its weakness is everything outside that doorway: the technician who starts at a client in Sheikh Zayed, the guard posted at a site in New Cairo, or the sales rep who never comes to the office. For those teams, GPS attendance for field teams is usually the practical fix; our guide to GPS attendance for field teams covers how to set it up.
On accuracy, it helps to be realistic. According to GPS.gov, GPS-enabled smartphones are typically accurate to within about 4.9 metres under open sky, and accuracy worsens near buildings, bridges and trees. In dense parts of Cairo or Alexandria, set the office radius with that drift in mind rather than at the exact wall of the building.
Free downloads and Excel templates vs cloud apps
Searches for a free attendance program or an Excel template are common, and they deserve an honest answer. A free tool is not a bad choice by default; it is a choice with a different cost.
When a free tool or Excel sheet is enough:
- You have a small team in one location.
- One trusted person records attendance and the same person runs payroll.
- There are no field staff and no night shifts crossing midnight.
- Month-end takes an hour, not a day.
When it stops being free:
- Data is copied from a paper register, WhatsApp messages or a device export, and every copy step adds typos.
- Two or more branches keep their own files in their own layouts.
- Salary disputes come down to a cell someone typed.
- Reconciliation eats a full working day each month.
Downloadable desktop programs also carry practical risks: one installation on one PC, backups that depend on someone remembering, and versions that stop being updated. Cloud-based employee attendance software moves those problems to the vendor, at the price of a subscription. If you are still on a spreadsheet, our guide on when to move from an Excel attendance sheet to an app lists the columns, formula traps and a five-day migration plan.
A 10-point checklist before you choose
Use this list in every demo of employee attendance software in Egypt. Ask the vendor to show you each point in the product, not on a slide.
- Check-in verification. How does the system know the record is genuine: fingerprint, face, GPS radius, QR? Ask what happens when someone checks in from outside the radius.
- Field and multi-site staff. Can people check in from a client site, a second branch or a night post? Can you set a different location per branch?
- Phones your staff actually own. Does the app run on ordinary Android phones as well as iPhones? Is there a fallback for staff with limited data?
- Schedules and lateness rules. Can you set a scheduled start per person or group, so lateness is measured against the right time?
- Automatic calculations. Are late minutes, absent days and hours worked calculated for you, or exported for you to calculate?
- Payroll output. Does the system produce a month-end sheet with deductions applied, or a raw log you still have to process?
- Reports and live view. Can a manager see who is in right now, and pull a monthly report per branch or department?
- Arabic and English. Can both your HR team and your staff use it comfortably in their language?
- Total monthly cost in EGP. Count devices, installation, per-employee fees and annual renewals. Pricing in USD or AED can move with the exchange rate.
- Exit and data. Can you export your records if you leave? Who can see location data, and is that explained to staff?

From attendance to payroll: where the money is
Attendance and payroll software are often sold separately, but the value is in the connection. Every disputed salary in a small business comes back to one question: what time did this person actually arrive, and who recorded it?
A clean flow looks like this:
- Each employee has a scheduled start time and a working location.
- Check-ins are captured by the employee and verified by the system.
- Late minutes and absent days are calculated against the schedule, with approved leave kept separate from unexcused absence.
- A manager reviews exceptions weekly, not on the last day of the month.
- The month-end sheet carries the agreed deductions straight into the salary run.
When step 5 is a copy and paste between two systems, errors creep back in. That is why attendance and payroll software that shares one record tends to cut month-end work more than either tool alone. Our guide to payroll and attendance reconciliation walks through settling the disputes that still come up.
The Egyptian legal context, briefly
Egypt's new Labour Law No. 14 of 2025 took effect on 1 September 2025 and fully replaces Labour Law No. 12 of 2003, according to an EY tax alert on the new law. Rules on working hours, rest and overtime sit within that framework and related ministerial decisions, and international standards on working time are set out by the International Labour Organization.
Attendance software does not make you compliant on its own. What it gives you is an accurate, time-stamped record of hours worked, which is the evidence any overtime calculation or deduction depends on. Review your internal penalties policy and any deduction rules with a qualified labour lawyer before you automate them.
How Yawmy does this
Yawmy is an attendance and employee-management app for small and mid-sized teams in Egypt and the Gulf, built around the mobile GPS method in the table above. According to the Yawmy website:
- Employees check in from the iOS or Android app, or through a Telegram bot, with no hardware devices to install.
- Each check-in is verified by GPS against an office radius you set per location.
- Lateness and absence deductions are calculated automatically into an end-of-month payroll sheet.
- A live dashboard and detailed reports show attendance, lateness and hours worked.
- Staff can be grouped by branch or department, and managers can assign tasks and receive visit reports.
Yawmy is free to start for up to two employees. The Pro plan is 500 EGP per month or 4,500 EGP per year for unlimited employees. If your team works at one door and identity is your main concern, a fingerprint device may suit you better; Yawmy is built for teams spread across branches and the field.
FAQ
What is the best employee attendance software in Egypt?
There is no single best option; it depends on where your staff work. A fingerprint or face device suits one fixed site with one entrance, while a GPS mobile app suits several branches and field teams. Use the 10-point checklist above to compare the products on your shortlist.
Is there free attendance software I can download?
Yes, there are free templates and desktop programs, and some cloud apps have a free tier for very small teams. They work for a few people in one location. Once you have several branches, field staff or monthly salary disputes, the time spent fixing records usually outweighs the saving.
Fingerprint device or mobile app: which is better?
A fingerprint device is stronger at proving identity at one door and needs no smartphones. A mobile GPS app is stronger at covering many locations and staff who never come to the office, and it usually calculates lateness for you. Many businesses choose based on how many sites they run.
Can attendance software calculate payroll deductions?
Some can. Look for a system that measures lateness and absence against each person's schedule and produces a month-end sheet with deductions applied, rather than a raw log. Agree your deduction rules in writing and have them reviewed against current labour law first.
Can employees cheat a GPS attendance app?
It is harder than on paper, because the check-in must come from the employee's own phone inside the radius you set. A phone can still be handed to a colleague, so combine the app with a clear policy, spot checks and a manager who reviews repeated patterns.
