Fingerprint Attendance Machines: Types, Costs, Mobile Option
A fingerprint attendance machine is a terminal mounted at the workplace entrance that identifies each employee by fingerprint, face or a card, then stores clock-in and clock-out times in its memory or in software on a PC. It is the strongest way to prove who arrived at a single door. It cannot see an employee who starts the day at a client site or another branch, and it usually leaves someone exporting a file and calculating lateness by hand at month-end. This guide covers the main device types, what really drives the cost, the general setup steps, and when an app on the employee's own phone is the better fit.
TL;DR. Choose the recognition method to suit the workplace: fingerprint for offices, face recognition where hands get dirty or queues build up, and cards where staff turnover is high. The cost is not just the device; it is installation, software, connectivity, maintenance and the number of sites. If your team is spread across branches or works in the field, a device is needed at every site, whereas a GPS attendance app checks people in from anywhere and verifies the location.
Types of biometric attendance device
Every attendance terminal does the same job: identify the person and record the time. The difference is how it identifies them, and that decides where each type works.
| Type | How it identifies staff | Strength | Weakness | Suits |
|---|---|---|---|---|
| Fingerprint | A sensor reads the finger | Widespread and simple to use | Struggles with dirty, wet or cracked fingers | Offices, clinics, shops |
| Face recognition (camera) | A camera matches facial features | Contactless and quicker in a queue | Sensitive to lighting and angle; needs good enrolment | Factories and high-headcount sites |
| Palm or hand | Reads the palm or hand veins | Does not depend on the fingertip surface | Less common, fewer suppliers | Sites where fingerprint reading fails |
| Card or badge | Staff swipe or tap a card | Cheap to run and fast | A card can be handed to a colleague | High-turnover or temporary sites |
| Iris | Reads the iris of the eye | Strong identification | Typically higher cost, rare in small firms | Security-sensitive sites |
People often confuse two different products. A fingerprint door lock or access-control reader decides whether a door opens; an attendance machine records time so lateness can be calculated. Some terminals do both, so ask the supplier directly: does the device produce a daily attendance report per employee, or only an entry log?
How much does a fingerprint attendance machine cost?
We will not quote prices here. Device prices in Egypt move with the exchange rate, the model and the supplier, and any figure we publish today could mislead you next month. The question "how much does a fingerprint attendance machine cost?" has a better answer than a single number: the real cost is the sum of these items.
| Cost item | What it includes | Question to ask the supplier |
|---|---|---|
| The device | Recognition type, capacity (fingerprints, faces, records), screen | How many employees and records does it hold? |
| Installation | Wall mounting, power, a spot with suitable light | Is installation included, and who installs at branches? |
| Connectivity | Network cable, Wi-Fi, or pulling data by USB stick | How do records get from the device to the PC? |
| Software | The attendance program that reads the device and produces reports | Is it free with the device or licensed? Does it support Arabic? |
| Maintenance and warranty | Sensor replacement, updates, technical support | How long is the warranty, and who repairs it? |
| Number of sites | One device per branch or gate | How many devices do I really need? |
| Accountant time | Exporting, cleaning and calculating lateness | Does the software calculate lateness and absence itself? |
Ask for three written quotes covering every line above. A face recognition terminal is often priced above a basic fingerprint unit because it needs a camera and more processing, but confirm that in the quotes themselves, and never judge a "cheap" machine on the hardware price alone.
ZKTeco and Hikvision: what a brand search really means
Many searches for attendance machines in Egypt include a brand name, such as ZKTeco or Hikvision. ZKTeco's official website lists a "Time Attendance Terminal" product category, as shown in October 2026. We do not sell these devices or review their models, but the following applies to any brand:
- Prices come from the authorised distributor in your country, not from the global brand's website. Ask for the price including software, installation and warranty.
- Software downloads should come only from the manufacturer's official website or the supplier you bought from. Never install device software from unknown links; it runs on a PC that holds your staff data.
- Model specifics such as menus and settings differ by model, so ask the supplier for the model's catalogue and user manual.
- Device software reads the terminal's records, but it does not know your lateness rules. You still need to enter working hours for every employee or shift.
Setting up a ZKTeco or other attendance device: the general steps
These steps apply to most attendance terminals; they are not a manual for any specific model. Check your device's manual at each step, especially before formatting or wiping data.
- Choose the mounting point. Put it at the entrance everyone uses, out of direct sunlight if it is a face terminal, and near power and network.
- Set the date, time and time zone. One hour wrong on the device makes the whole team "late" in the report.
- Enrol employees. Give each person a fixed ID, then enrol their fingerprint, face or card. Use the same ID as on the payroll sheet so the files match.
- Connect the device to the software, by network or Wi-Fi, or pull data by USB if it is offline.
- Enter working hours and shifts in the software so it calculates lateness and early departures instead of just listing raw times.
- Run a full week in parallel with your current method and compare results before you rely on it for payroll.
- Pull the attendance report weekly, not only at month-end, so missing punches are reviewed while people still remember.
Maintenance, reprogramming or formatting a ZKTeco or similar unit is best done by the supplier's authorised technician. Formatting usually wipes fingerprints and records, so back up the data first.
Should you buy a used fingerprint attendance machine?
A used machine can save on the purchase price, but it carries risks that do not appear in the listing. Check these before buying:
- Is the model still supported, and is there software that runs on your current PC operating system?
- Is the software licence transferable? Some programs are tied to the first buyer.
- Condition of the sensor or camera. A scratched sensor raises recognition errors and slows the morning queue.
- The previous owner's data. Make sure old fingerprints and records are wiped in front of you; they are other people's personal data.
- Warranty and support. Usually there is none, so budget for the first fault.
If you are buying used to save money, also compare it with an option that needs no device at all, covered below.
Choosing the best attendance machine for your business
There is no single best type for every company. Use these questions to decide:
- How many people pass the device in the first fifteen minutes of the day? Queues favour face recognition or more than one device.
- What is the work like? Dirty hands or gloves favour face or card.
- How many sites do you run? Each one needs a device, installation and connectivity.
- Do you have staff who never pass an entrance, such as sales reps, technicians or guards at client sites?
- Who will calculate lateness and absence each month, and how many hours does it take?
- Does the software produce a report that goes straight into payroll, or a file you re-arrange in Excel? If you are still on a spreadsheet, our guide to moving from an Excel attendance sheet to an app explains its limits.
Egypt's Labour Law No. 14 of 2025 obliges workers to keep to working hours (Article 134) and obliges employers to post a schedule of working hours and rest (Article 122), according to the official text on the Ministry of Labour website. Whatever device you choose should measure attendance against that posted schedule, not verbal agreements.
Fingerprint machine or mobile attendance app?
A fingerprint-based attendance system is excellent at one door. It is not the only way to prevent cheating. Here is an honest comparison:
| Fingerprint attendance machine | GPS attendance app on the employee's phone | |
|---|---|---|
| What it proves | The person's identity at the device | That the check-in came from the employee's phone inside the site radius |
| Hardware needed | One device per site, installed | Nothing beyond the employee's phone |
| Multiple branches | Device, software and connectivity per branch | No hardware per branch; ask how each location is verified |
| Sales reps and technicians | Not covered | Check in from the client's site |
| Signing in for a colleague | Very hard at the device | Harder than paper, but a phone can be handed over |
| Lateness and absence | Depends on the software, often via export | Calculated automatically in the app |
| Typical failures | Sensor, camera or power | Network coverage and GPS accuracy |
On location accuracy: according to GPS.gov, GPS-enabled smartphones are typically accurate to within about 4.9 metres under open sky, and accuracy drops near buildings, bridges and trees. Set the site radius a little wider than the building's walls. For field teams, read our guide to GPS attendance for field teams; for shop chains, see branch attendance for retail.
How Yawmy works without a fingerprint device
Yawmy is an attendance app for small and mid-sized businesses in Egypt and the Gulf, and its website states plainly that it works without fingerprint devices. According to the Yawmy website:
- Employees check in from the iOS or Android app, available free on both stores, or from a Telegram bot with nothing to install.
- Every check-in is verified by GPS against the office radius you set.
- Lateness and absence deductions are calculated automatically into an end-of-month payroll sheet.
- A live dashboard shows who is at work now, with reports on attendance, lateness and hours, and staff grouped by branch or department.
Yawmy is free for two employees. The Pro plan is 500 EGP per month or 4,500 EGP per year for unlimited employees. If your whole team enters through one door and identity is your top priority, a fingerprint machine may suit you better. FAQ
How much does a fingerprint attendance machine cost in Egypt?
There is no single price. It varies with the recognition type (finger, face or card), capacity, brand and supplier, and moves with the exchange rate. What matters is the full cost: device, installation, software, connectivity and maintenance, multiplied by the number of sites. Ask for three written quotes covering all of it.
What is the best type of attendance machine?
The best one fits your workplace. Fingerprint suits offices, face recognition suits queues and dirty hands, and cards suit high-turnover sites. If part of your team works away from the premises, no wall-mounted device will cover them.
Where should I download the attendance device software?
Only from the manufacturer's official website or the supplier who sold you the device. The software runs on a PC that holds your employees' data, so avoid unofficial links. Ask the supplier whether the software is free with the device or needs a licence.
Is a used fingerprint machine worth buying?
It can save money, but make sure the model is still supported with working software, that the previous owner's data has been fully wiped, and assume there is no warranty. Compare its full cost with an app that needs no device.
Can I replace a fingerprint machine with a phone app?
In many cases, yes. An attendance app on the employee's phone that verifies location by GPS covers branches and field teams without hardware. It proves location more than identity, so pair it with a clear policy and spot checks.
What is the difference between a fingerprint door lock and an attendance machine?
An access-control reader decides whether a door opens, while an attendance machine records time for lateness and absence calculations. Some devices do both, so ask whether the unit produces a daily attendance report per employee.
