Shift Handover Checklist: A Template That Prevents Gaps
A shift handover checklist for clinics, warehouses, kitchens and security teams: five fields to cover, how long the overlap should be, and what to do when relief is late.
A shift handover checklist works when it forces three things: both people present at the same time, the same five topics covered every time, and two signatures at the bottom. The outgoing person does not leave until the incoming person has clocked in and signed. Do that, and most of the "nobody told me" problems that surface the next morning simply stop.
In clinics, warehouses, restaurant kitchens and security contracts across Egypt and the Gulf, handover often happens in ninety seconds at the door. Somebody says "all good", somebody else nods, and the important part of the night walks out with the person going home.
Quick answer: Use a fixed handover template with five fields: what happened, what is unfinished, items in custody, equipment status and watch-outs. Schedule 10 to 15 minutes of paid overlap. Make "no departure before relief signs in" a written rule, and remember that in Egypt Labour Law No. 14 of 2025 caps a worker's presence on site at 12 hours, so double shifts are not an open-ended fix.
Why handovers fail, even in small teams
The UK Health and Safety Executive keeps a dedicated page of shift handover guidance because communication failures at shift change have contributed to serious accidents. It cites the 1983 Sellafield beach incident, where radioactive waste was discharged after a shift communication failure, and the Piper Alpha disaster, where the inquiry identified a failure of information transmission at shift handover.
Your business is not an offshore platform. The mechanism is the same at a smaller scale:
- Verbal only. The incoming person forgets half of it within the hour.
- Written only. A note sits in a drawer nobody opens.
- One person in a hurry. The last fifteen minutes of a shift are mentally spent on the commute.
- Nobody owns the questions. The incoming worker assumes they will be told everything; the outgoing one assumes they will be asked.
HSE's recommendations answer each of these. Handover should be face to face, two-way with both people taking joint responsibility, both verbal and written, and given as much time as it needs. It should also be based on what the incoming person actually needs to know, not on what the outgoing person happens to remember.
A shift handover template with five fields
Copy this table, swap in examples from your own operation, and keep it as a printed pad or a pinned message in your team chat.
| Field | Question it answers | Clinic front desk | Warehouse |
|---|---|---|---|
| What happened | What mattered most this shift? | A patient complaint about wait times | Truck from supplier arrived two hours late |
| Unfinished | What started but did not finish? | Two insurance approvals pending | Order 4471 picked but not packed |
| Custody | What must be counted and handed over? | Cash drawer, controlled-drug keys | Forklift keys, scanner devices |
| Equipment | What works, what does not? | Card machine offline since 6 p.m. | Dock door 2 sticking |
| Watch-outs | What should the next shift look out for? | Doctor's 8 a.m. list is overbooked | Stock count starts at 7 a.m. |
Two lines finish the form: outgoing name, signature and time; incoming name, signature and time. The signatures turn a conversation into accountability.
The end of shift report versus the handover
An end of shift report summarises the shift for a manager who reads it later. A handover transfers responsibility to a colleague who acts on it now. Many small businesses try to make one document do both and end up with a long report that the incoming person skims. Keep the handover short and practical. If management needs a fuller report, write it separately.
Custody: count it together or own it alone
Cash, keys, devices and sensitive stock cause the worst disputes, because a shortage is always discovered late. The rule is simple: count in front of both people before the signature, not after.
- Define the custody list in advance. Do not leave it to each worker to decide what gets counted.
- The incoming person counts; the outgoing person watches.
- Write any difference on the form before signing, with the reason if it is known.
- No signature without a count. Make it known from day one that whoever signs without counting owns what is found later.
Shift overlap time: how long, and who pays for it
Good handover takes time, and time has to be scheduled. For most operations, 10 to 15 minutes of overlap is enough. Allow longer where custody is large or where patients, customers or machines need explaining.
Illustrative example: if the morning shift runs 7:00 to 15:00, start the afternoon shift at 14:45. Those fifteen minutes are working time for the incoming employee. They belong in the published schedule and in the monthly hours total. In Egypt, Article 122 of Labour Law No. 14 of 2025 requires the employer to post a schedule of working hours and rest periods in a visible place, so make the overlap part of that schedule rather than an unwritten habit.
Fifteen minutes a day adds up across a month, and that is exactly where payroll disputes start. Our guide on how to calculate working hours walks through the arithmetic. To design the rota itself, see our shift scheduling playbook for Egypt.
When relief is late for the shift
Every shift manager faces this weekly. The worst outcome is the outgoing worker leaving "because my shift is over" and the site, pharmacy counter or gatehouse standing empty.
Write a three-step rule and train it:
- Nobody leaves before handover. The outgoing worker stays until relief arrives and signs, and tells the supervisor immediately.
- The supervisor resolves it within a set time. Call the late worker; if they are not coming, call someone from a standby list prepared in advance.
- Respect the ceiling. Article 121 of Egypt's Labour Law No. 14 of 2025 states that in all cases a worker's presence at the establishment may not exceed 12 hours. Holding someone over is a short bridge, not a second shift, and the extra time is recorded and paid. Saudi and UAE employers should check the equivalent limits in their own labour rules.
The ceiling protects both sides. The worker is not burned out, and the business does not end up in breach because one colleague overslept.
All of this depends on knowing the real times, because disputes are always about minutes: when did relief clock in, and when did the outgoing worker clock out? A team-wide view helps; our piece on the HR dashboard for SMB owners covers what to look at each morning.
How Yawmy helps
A handover only works if the clock-in and clock-out times behind it are trustworthy. That part is what Yawmy, an attendance and task app for small and mid-sized teams, says it covers on its website:
- Staff clock in and out from Telegram or from the free iOS and Android app, with GPS-verified check-ins and an optional office geofence.
- A live dashboard shows working hours, lateness and adherence per employee and per department, organised by branch and department.
- Managers distribute tasks and follow completion.
- You can start Yawmy free, and a paid plan covers unlimited employees.
In practice, the incoming worker's clock-in and the outgoing worker's clock-out are recorded to the minute, so "who left before relief arrived" stops being an argument. The handover form itself stays a short pad or a pinned message that both people sign. To compare attendance tools, start with our guide to employee attendance software in Egypt.
FAQ
What should a shift handover checklist include?
Five fields: what happened, what is unfinished, items in custody, equipment status and watch-outs for the next shift. Finish with the names, signatures and times of both the outgoing and incoming worker.
How long should a shift handover take?
For most operations, 10 to 15 minutes of overlap is enough. Allow more when large amounts of cash or stock must be counted, or when patients, customers or machines need a detailed explanation. Put the overlap in the schedule and pay it as working time.
Can an employee leave if their relief has not arrived?
Set a written rule that they stay and alert a supervisor immediately, and keep a standby list so the wait is short. In Egypt, Article 121 of Labour Law No. 14 of 2025 caps presence on site at 12 hours, so holding someone over is a short bridge, not a second shift.
Is a WhatsApp message enough for shift handover?
It is a useful record, but not a substitute for talking face to face. HSE guidance recommends combining verbal and written communication, because each covers what the other misses.
Who is responsible for a cash or stock shortage between shifts?
Settle it with a joint count before the incoming worker signs. Once someone signs without counting, it becomes very hard to show the shortage happened on the previous shift. Any action after that should follow your company's written regulations.
